Appointment Policies at Monarch Health Centers

Appointment Reminders


As a part of our commitment to delivering high-quality care efficiently, Monarch Health Centers provides a courtesy call one working day before your scheduled appointment. For appointments following a holiday, reminders will be made on the preceding working day when our offices are open.


Appointment Cancellation


When you book an appointment, you reserve a dedicated time slot, making it unavailable to other patients. To be considerate of your fellow patients, please notify us as soon as possible if you are unable to keep your appointment.

If cancellation is necessary, we kindly request that you call us at least 24 hours in advance. This notice allows us to accommodate another patient who may need that time slot.


How to Cancel Your Appointment


If your schedule changes, and you cannot make your appointment, please contact us at:

Late Cancellations/No-Shows Fees


Late cancellations occur when an appointment is canceled less than 24 hours before the scheduled appointment time. A no-show is when a patient misses an appointment without canceling.


  • Late Cancellation (within 24 hours of the appointment): A fee equal to 50% of the consultation charge will apply.
  • Very Late Cancellation (less than 3 hours before the appointment): The full session fee will be charged.
  • No-Show: If a patient does not show up for their appointment and does not cancel, the full session fee will be charged. This amount is not reimbursable by insurance and will be billed directly to you.
  • Recurring No-Shows: Patients who miss three consecutive appointments without cancellation may be discharged from our services.
  • Late Arrivals: If you arrive late, you will be charged for the full session.


Telehealth

Our cancellation policy applies to all appointments, including telehealth sessions. 



Support Groups

The cancellation policy does not apply to support groups that are free of charge. However, we request that participants notify the clinic or facilitator if they are unable to attend.


Exceptions


We understand that unforeseen emergencies can arise. However, it is essential to notify us as soon as possible in such cases. Exceptions to the cancellation policy may be made under the following circumstances:

  • Medical emergencies (e.g., hospitalization, severe illness)
  • Family emergencies (e.g., loss of a loved one, urgent caregiving responsibilities)
  • Unforeseen circumstances beyond your control (e.g., extreme weather, accidents)

If you experience an emergency, please contact our office as soon as possible so we can assess whether a cancellation fee waiver may be granted.
